Understand and generate your workshop analysis
How to use the analysis workspace to generate post-workshop outputs including the post-it wall, insight report, presentation deck, sketchnote, and quantitative participation overview.
When a session ends, the work in the room is captured — but the outputs have not been created yet. The analysis workspace is where that happens.
Open it from the session overview or from your meeting list. Everything RoomRadar will use to generate analysis is visible here before you start.
What the analysis workspace contains
The workspace has two states: before generation and after.
Before generation, you see the overview tab. This lists all source material that will feed the analysis: transcripts from each group, any uploaded documents, uploaded images. Review these before generating. If a group's transcript looks empty or a file is missing, add it now — it is much cheaper to fix inputs before running than to regenerate afterward.
After generation, you get five outputs:
- Post-it wall — ideas from all groups, auto-clustered by theme
- Insight report — a cross-table narrative report identifying patterns, themes, and findings
- Workshop analysis — quantitative overview including participation share per group, speaking distribution, and statistical outliers
- Presentation deck — a shareable slide deck built from the session outputs
- Sketchnote — a visual summary image of the session
Each output is generated in a single run. You do not trigger them individually.
Generation states
When you start generation, the workspace moves through a defined sequence:
- Queued — your request is waiting in line; this is usually brief
- Running — outputs are being generated; this takes a few minutes for a full workshop
- Succeeded — all outputs are ready
- Stale — outputs exist but the inputs have changed since generation (a new group was added, a document was uploaded); the old outputs are still readable but will not reflect the new sources
- Failed — generation did not complete; see below
A stale analysis is not wrong — it reflects the inputs that existed when you ran it. Re-generate if you need the new sources included.
How to start generation
In the overview tab, use the generate button. You do not need to configure anything for a standard analysis. If your plan does not include the full output suite, the button will be grayed out with an explanation.
Generation draws from your subscription allowance. A typical workshop (multiple groups, one full run) costs a few kronor from your monthly allowance. Check the budget bar in settings if you are unsure how much you have left.
When generation fails
A failed state means the run did not complete. Common causes:
- a transcript source was malformed or empty
- a temporary model outage
- allowance was exhausted mid-run
The workspace will show a retry option. Before retrying, verify that your input sources look correct in the overview tab. If generation fails again, check your available allowance.
If a specific output type fails but others succeed, the workspace shows which outputs are complete and which are not.
What to do with the outputs
The insight report and post-it wall are the primary materials for your debrief. The post-it wall is good for rapid cross-table scans; the insight report gives you narrative structure. The workshop analysis adds quantitative context — who spoke, how much, where the outliers are.
The presentation deck is for sharing results outward. The sketchnote is a visual one-pager suitable for event summaries or stakeholder communications.
None of these outputs replace facilitator judgment. Treat them as a thorough first draft and apply your own reading of what happened in the room.
Sharing outputs
Use the share button on any output to generate a link. Shared outputs are read-only. The recipient does not need a RoomRadar account to view them.
If you want to give someone edit access or involve them in the analysis, add them as a collaborator in the session settings.
